What is Microsoft Copilot?
Microsoft Copilot is an AI assistant deeply integrated across the Microsoft 365 suite, including Word, Excel, PowerPoint, Outlook, and Teams. It uses large language models combined with your organization's data through Microsoft Graph to deliver context-aware assistance directly inside the apps nonprofits already use every day. Copilot can draft documents, summarize long reports, generate slides, analyze spreadsheet data, and recap missed meetings in real time.
At its core, Copilot operates in two tiers. Microsoft 365 Copilot Chat is a free, secure, web-grounded AI chat available to all Microsoft 365 subscribers that supports file uploads, image generation, and Copilot Pages for sharing AI-generated content. The full Microsoft 365 Copilot add-on extends AI capabilities deep into every app, enabling meeting summaries with action items in Teams, email drafting in Outlook, data insights in Excel, and presentation creation in PowerPoint.
For nonprofits, Microsoft Copilot offers a 15% discount on the paid add-on through the Microsoft for Nonprofits program, bringing the price to $25.50 per user per month. The free Copilot Chat tier is available at no cost to any eligible nonprofit already on Microsoft 365. Organizations that handle large volumes of communications, manage complex programs, or need to translate donor reports and grant proposals into formatted documents will find Copilot particularly valuable.

Eligibility Requirements
- Must hold 501(c)(3) nonprofit designation or internationally recognized equivalent
- Public libraries providing free general services to all residents are eligible
- Public museums conserving or exhibiting objects for cultural or educational purposes are eligible
- Organization must operate on a not-for-profit basis with a qualifying community benefit mission
- Operating budget restrictions do not apply (unlike some other programs)
- Government agencies, schools, colleges, universities, and most healthcare organizations are NOT eligible
- Professional associations, sports organizations, political and labor organizations are NOT eligible
- Must maintain at least 85% active usage of all granted Microsoft licenses
- A separate eligible Microsoft 365 license is required to purchase the Copilot add-on
How to Apply

Enter your contact information: name, job title, email address, and country or region

Verify your email address using the 6-digit code sent to your inbox

Enter your organization's legal name, website, mailing address, phone number, and legal identifier (EIN for US orgs)

Complete the compliance attestation confirming you will use the offers only for eligible organizational purposes

Submit the registration for validation by Goodstack (Microsoft's verification partner)

Limitations
- The 15% nonprofit discount applies to Microsoft 365 Copilot; Microsoft 365 Copilot Business (the SMB tier) does not currently have dedicated nonprofit pricing
- Copilot Business has a hard cap of 300 seats per tenant; organizations over 300 users must use the standard Copilot SKU
- Copilot is not a standalone product and requires an eligible Microsoft 365 plan to purchase
- Grant licenses are limited to paid employees and unpaid executive staff; discounted licenses extend to volunteers
- Only one validated nonprofit tenant is allowed per organization
- Subscriptions are annual commitments that auto-renew; monthly billing is available with a 5% surcharge
- Microsoft pricing will adjust July 1, 2026 in line with commercial pricing changes
